1 · Answer four questions (voice notes are perfect)

One follow-up: the "cap".In your voice note it sounded like "a high-efficient camera needs a cap" — which cameras is that, and what exactly is the cap (the item)? A one-line voice note settles it.

2 · Your standard packages

List the 4–5 jobs you quote over and over.Like "4-camera install", "2-family intercom". Just names and what's roughly in them — we pre-build them so a quote is one sentence.

3 · Phone number (Twilio)

Create Zapro's Twilio account.Twilio is where your new OnHand phone number comes from — and the account is yours, so the number can also do SMS and anything else later.✅ Done — account created and upgraded, $20 loaded.

Send David the two account keys — securely.Account SID + Auth Token from the Console home page.✅ Done — received, tested, working.

Get the phone number.Your business profile passed Twilio's review and the number is bought.✅ Done — your OnHand number is (516) 588-6879. You'll need it in step 5 of the WhatsApp setup.

4 · AI accounts (two more signups, same idea as Twilio)

Create Zapro's Anthropic account and send David the key.Anthropic's Claude is the brain that reads your messages ("used 3 cameras on the Smith job") and figures out what you meant. Step-by-step here: AI keys setup.

5 · WhatsApp signup — ready to go

Still open from the workbook: your packages list — the bundles you sell (e.g. "4-camera package"), what's in each and the price. A voice note works fine.

Both your inventory and the catalog now have an Export to Excel button, top right. Whatever you're looking at — a search, one location, just the reorder list — is what lands in the file.

The inventory file comes with two tabs: By item (one line per thing you stock) and By location (the same stock split between the garage, the van and the truck). The second one has more lines than the first, and that's normal — one item kept in three places is one item on three shelves.

You can also filter the catalog by vendor — tick as many as you want.

New: just tell it what happened

There's now a box at the top of every screen with a 🎤 microphone. Say or type things like "moved 2 patch panels from the garage to the van" or "used 4 cameras on the Smith job".

It reads it back before it changes anything — you always get a "confirm?" first, and nothing is saved until you tap Yes. If it mishears a word you'll see exactly what it thought you said, so you can catch it.

The microphone switches on as soon as the OpenAI key is in (that's on David's list). Typing works right now.
